General information on the use of personal data:
When processing personal data, we comply with the EU Data Protection Regulation (GDPR), which entered into force in May 2016 and is nationally applicable from May 25, 2018. We only process such personal data, the processing of which is justified based on the customer relationship, contracts, use of the site, legal obligations or the person’s consent. The customer has the right to prohibit the use of personal information for direct marketing.
What information we collect and store:
Our website has a subscription form for newsletters and a member information form, and we also collect information in connection with the membership and exhibition application processes. Personal data collected via forms is always based on the data subject’s consent (using the forms is voluntary). In addition, the register includes contact information of stakeholders related to the activities of Photo North – Pohjoinen fähtaikeskus ry. The information is grouped according to Phot North’s operation and communication needs. Stakeholders are individuals, associations and companies.
Data content of the register:
The purpose of using personal data is to implement Photo North – Pohjoinen photo center’s association activities, contact and communication. The processing of personal data, entering into the register and making changes are done by the staff of Photo North – Pohjoinen fotografekeskus ry.
The information can be used, among other things, for the following purposes:
- customer relationship management and development
– delivery of products and services
– customer surveys
– communication (e.g. newsletters and various invitations)
– other similar purposes
The following information can be stored in the register:
– customer’s first and last name
– the title
– organization
– address information
– phone number
– e-mail
– www address
- information on marketing permits and prohibitions
- information about the customer’s payment transactions, discounts
Regular sources of information:
The information contained in the contact information register has been collected from the persons belonging to Photo North’s stakeholder groups themselves through forms, by telephone, by e-mail or in another similar way. The register is updated based on the contact information change notification made by the registrant himself.
Regular transfers of data:
The information is only used to manage customer relations and is not regularly passed on to external parties. However, information can be disclosed in connection with activities related to the technical administration of member pages (e.g. administration of the server or web site platform), to collect unpaid invoices, and to the authorities when required and permitted by law.
Data transfer outside the EU or the European Economic Area:
Data is not transferred outside the EU or the European Economic Area.
Data storage and disposal:
The information in the register is kept for the duration of the customer relationship. Invoicing and payment information is, however, stored like other accounting material. Information that has become unnecessary will be securely disposed of.
Principles of registry protection:
The register is treated confidentially. The register is properly protected from outsiders with firewalls and other technical means of protection. The register is kept only in electronic form. The register is used only by persons whose job description includes its use and who are bound by the duty of confidentiality. Each user of the register has a personal username and password.
Inspection right:
According to the Personal Data Act, everyone has the right to check what information about them has been stored in the personal register. The request for an inspection must be sent in a hand-signed or equivalently certified document or presented in person to Photo North’s staff. Requests should be sent to the contact person mentioned above, who will also respond to any requests for additional information.
Updating information:
The member can update his name and address information by e-mail to the contact person mentioned above.
Other rights related to the processing of personal data:
The customer has the right to refuse the processing of his data for marketing purposes. The request regarding the restriction of data processing must be submitted by e-mail to the registry’s contact person.
